1. About this policy
Alliance is a workplace operations platform for schedules, time and attendance, onboarding, training, checklists, inventory, and team communication. This policy explains how Alliance handles information when owners, managers, and team members use the Alliance website and mobile app.
For information a workplace enters, collects, or requires through Alliance, the workplace generally decides why the information is processed and who may access it, while Alliance processes it to provide the service. Alliance may make separate decisions about limited information needed for account security, support, fraud prevention, legal compliance, and operation of the platform. Team members should usually direct employment-record questions to their workplace first.
2. Information we collect
- Account and contact details: name, email, phone number, authentication information, workplace, role, and assigned locations.
- Employment and onboarding records: hire details, emergency contact, tax and eligibility forms, agreements, identity documents, signatures, and manager review status when a workplace requires them.
- Work activity: schedules, availability, time-off and cover requests, time-clock entries, checklist submissions, training progress and quiz results, inventory counts, adjustments, and approvals.
- Team communication: messages, mentions, reactions, polls, attachments, read status, reports, blocks, and moderation decisions.
- Device and app data: IP address, browser or device identifier, push notification token, app version, operating system, connectivity status, request identifier, and diagnostics needed to secure and operate the service or document an electronic-signature event.
- User-chosen media and permissions: photos, PDFs, or camera captures you choose to submit for onboarding, checklist proof, time-clock proof, inventory evidence, or profile use.
3. Location, calendar, camera, and notifications
Alliance requests device permissions only for a related feature. Location may be used when a workplace requires clock verification. Camera and photo-library access are used only when you choose to capture or upload proof or documents. Calendar access is used to add a selected shift to your device calendar; Alliance does not upload your personal calendar. Notifications deliver schedule, request, chat, training, checklist, inventory, and time-clock updates according to your settings.
4. How we use information
We use information to provide and secure Alliance, connect team members to the correct workplace, run requested workflows, send operational notifications, support users, investigate abuse, prevent fraud, maintain audit history, improve reliability, and meet legal obligations.
5. When information is shared
Workplace owners and authorized managers can access information needed for their responsibilities. Alliance also uses service providers that host the app, database, files, notifications, email delivery, and website. These providers process information for Alliance under appropriate safeguards. We may disclose information when required by law, to protect people or the service, or as part of a business transfer. Alliance does not sell personal information or use it for third-party behavioral advertising.
When a workplace uses electronic-signature forms, Alliance uses DocuSeal Cloud as an electronic-signature service provider. Form content, signer name and email, field responses, document identifiers, signatures, and signing activity may be processed by DocuSeal even though the signing experience appears inside Alliance. The global DocuSeal Cloud currently stores service data in the United States. You can read the DocuSeal Privacy Policy.
Alliance downloads completed signed documents and their audit evidence into private Alliance storage for authorized workplace access. A provider copy may remain at DocuSeal during the applicable retention period. When Alliance's deletion workflow becomes eligible, it requests permanent provider deletion and verifies that the provider resource is no longer available through the API. Provider backup retention, legal preservation, and disaster-recovery copies may still be governed by the provider's contract, policy, and applicable law.
Information may be processed in the United States and in other countries where Alliance or its service providers operate. Privacy protections and government-access rules can differ between countries. Workplaces that require a particular data region or contractual transfer mechanism should confirm those requirements with Alliance before enabling affected workflows.
6. Workplace forms and electronic signatures
Workplaces choose which agreements, government forms, acknowledgements, uploads, and signatures they require. They are responsible for using current forms, providing required notices, collecting information lawfully, assigning authorized reviewers or signers, and selecting retention settings appropriate to their jurisdiction and workforce. Alliance provides workflow and recordkeeping tools, not legal, employment, immigration, or tax advice.
7. Chat safety and user content
Team communication is visible to authorized members of the relevant workplace channel. Users can report messages and block senders. Authorized managers can review reports and remove content. Alliance may retain limited moderation records to protect the service and document decisions.
8. Retention and legal holds
Alliance keeps information for as long as needed to provide the service, satisfy workplace and legal requirements, resolve disputes, and protect the platform. Onboarding evidence is retained according to the workplace's configured policy, currently for no less than four years after the applicable retention period begins, unless a longer period or legal hold applies. Employment, payroll, tax, eligibility, safety, and compliance records may therefore remain after a person's app account is deleted. A legal hold pauses eligible evidence deletion until an authorized workplace representative releases it. Other account data is deleted or de-identified when it is no longer needed.
9. Account deletion and privacy requests
You can delete your Alliance account in the mobile app by opening More, Settings, and Delete my account. If you are the workspace's only member, deleting the owner account closes access immediately and schedules the workspace for deletion after its configured retention period. Active legal holds prevent workspace deletion. An owner must transfer ownership before deleting their account when other members remain. If you cannot sign in, or want to request access or correction, use the Alliance support form. We may verify your identity before completing a request.
Deleting access does not automatically erase records that a workplace must retain or has placed on legal hold. When the workplace controls an employment record, Alliance may refer a request to that workplace or assist it in responding. Requests remain subject to identity verification, applicable law, documented exceptions, and the rights of other people.
10. Security
Alliance uses access controls, row-level database security, encrypted network connections, private file access, audit records, and other safeguards designed to protect information. No system can guarantee absolute security, so users should keep credentials private and report suspected misuse promptly.
11. Children
Alliance is a workplace service and is not directed to children under 13. Workplaces are responsible for complying with employment and consent requirements that apply to younger team members.
12. Changes and contact
We may update this policy as Alliance changes. The effective date above identifies the current version. Questions or requests can be submitted through Alliance Support.
